ONBASE EXPORT
OnBase Export allows users to export the database indexes and data files from the source database onto another form of media such as hard disk, tape, CD-R, DVD-R or optical disk, for use by another OnBase system. An OnBase system is comprised of three components: the database, the data and a workstation. The database stores indexing, security and licensing information. The data will be the documents managed by the system. The workstation runs the OnBase Client that controls the interface between the database and the data.
Application
Export is used by organizations, where different sites are running separate OnBase systems, to transfer information. When one site needs access to another site's data, the export feature is used. Service bureaus use Export on a regular basis to deliver data to their OnBase customers.
A user creates an export "ad-hoc" in situations when they would like to group all documents associated to a specific issue, job, customer, etc. A query is performed based on a unique keyword value, (e.g. account number, job number, customer number, etc.), and all related documents appear in a results window. From the results window, an export can be created containing those documents and their indexes. Users also create exports when data is routinely sent to a customer or another site based on an event, such as the end of the month, end of the quarter, when a disk group is full, etc. Additionally, system administrators can export complete disk group volumes when necessary.
An organization receives monthly figures on a regular basis from multiple sites. All locations are running their own OnBase system and an export is run from each site. The exported figures are sent to the main site where the data is imported into their OnBase system for review. Depending on their business process, the main site may overwrite the previous months export figures with the new data or retain it for historical record.
Another organization consists of multiple service centers where each one uses their own OnBase system. Each site services customers based on geographic region. At times when a customer moves from one region to another, their information must move with them to the new servicing center location. OnBase Export is used to send the customer information from the old service center to the new service center where it is then imported into that area's OnBase system.
