ONBASE DISCONNECTED SCANNING

Organizations with disparate offices spread across the globe have previously faced the challenge of consolidating content into a central repository. The OnBase Disconnected Scanning module provides a remote, fully functional solution for unifying independently generated content. Requiring only a single scanning station at each location, the Disconnected Scanning module enables teams to collaborate to generate, scan and index critical information for inclusion in a central repository.

The OnBase Disconnected Scanning module is a full-featured, standalone scanning application that allows users to scan documents without being connected to an OnBase Client or OnBase Web Server. Paper documents may be scanned and converted to digital images on the scanning workstation using a Kofax®-, ISIS®-, or TWAIN-compatible scanner. Additionally, existing digital images can be imported directly from an electronic storage medium such as a hard drive or CD through a process known as scanning from disk. Scanned batches are uploaded to an OnBase database through a connection to the OnBase Web Server. The upload can be performed manually or scheduled for non-peak hours. Once in the OnBase database, OnBase Client retrieval stations may access the documents.

Application
The Disconnected Scanning module works in much the same way as the Document Imaging module. Documents are scanned or scanned from disk into user-defined scan queues from a workstation running the Disconnected Scanning module. Documents are then typically indexed, which is the process of associating specific values with a document. Document separation and indexing can be automated through the use of patch code and bar code recognition. The Disconnected Scanning module offers you the flexibility to index the batches at the remote workstation or to index them within the Imaging module after the batches are uploaded.

Disconnected Scanning is ideal for scanning from remote offices where it is not feasible to scan directly to centrally located repository, either because network connections are slow or network bandwidth is needed for other applications. Organizations are able to scan utilizing a production-level scanner to a local workstation. Once scanned, an Internet connection is used to upload the document batches. After hours, document transfer can be scheduled to harness unused bandwidth.

Document Imaging
Disconnected Scanning works in conjunction with the OnBase Imaging, to further process batch documents after they are uploaded. Additional processes can be performed on documents when they arrive in the OnBase scan queues. Separate functions, such as re-index, double-blind index, OCR and line item separation, can all be performed on uploaded document batches.

OnBase OCR
OnBase Batch OCR works in conjunction with the Disconnected Scanning and Document Imaging modules to perform full-page OCR on document images. After they are uploaded to OnBase, batches are OCR'd from a centrally located workstation. OCR can be performed on bi-tonal, grayscale and color images. This additional capability allows text searching of image documents to locate specific information within a document or for locating a particular document based on text content.
