Implementing Electronic Document Management Software

Wednesday, January 26th, 2011

Organizations that select quality electronic document management software don’t have to make drastic changes to their IT environments or strategies in order to accommodate the software deployment. A customer-driven philosophy and open architecture make quality electronic document management software suitable for practically any environment, regardless of existing IT resources.

Onsite or OnLine

Despite electronic document management software’s acknowledged rapid deployment and low reliance on professional services, many organizations find that they cannot deploy an ECM solution as quickly as they would like. One of the only advanced hosted ECM solutions offered and supported directly by the software developer; high quality software is ideal for organizations with IT restrictions, budgetary requirements, or an outsourcing business model. Authorized electronic document management software solution providers and OnLine professionals provide consultative expertise to recommend the most appropriate solution.

SysTrust®-certified, OnLine allows organizations to enjoy the functionality and benefits of document management software in a completely outsourced, SAS, 70-certified data center. OnLine has also been granted Microsoft certification in Advanced Infrastructure Solutions Competency with the Hosting Specialization. OnLine provides the option of purchasing perpetual licenses and hosting them in the secure data center or a subscription-based model for the use of the software and infrastructure.

Government Legal Electronic Document Management, Part 3

Monday, December 20th, 2010

In part 1 of this blog post we discussed how the legal electronic document management services provided by OSAM allow government entities to do more with less. In part 2 of the blog post we discussed how legal document management services benefit local and county government entities. In this blog post we will discuss how electronic document management services benefit state governments as well as the court systems.

State – OSAM implemented and currently supports legal document management and records management systems in multiple Arizona state agencies. Some systems cover single departments and others are used enterprise-wide. OSAM’s solutions have saved millions of dollars for Arizona state agencies. A critical factor in the success of OSAM’s systems in the state has been the ability to allow those organizations to provide the same level (or better) of service to their constituents while dealing with job cuts or the inability to hire additional staff.

Courts – OSAM has an impressive resume of experience providing legal document management systems to courts in the state of Arizona. OSAM installed and currently supports over 20 court systems in the State ranging from limited jurisdiction (cities/towns), to general jurisdiction (counties), to the Arizona Supreme Court. Additionally, OSAM holds a contract with the Arizona Administrative Office of the Courts (AOC) to provide document management software, hardware, scanning and services to courts in the state of Arizona.

Document Content Management Software: DataCap WordFire Classify

Monday, December 6th, 2010

If you are still classifying documents manually, analyzing their content, and sorting them into categories prior to scanning, you need a solution that automates and speeds up that process. Wordfire Classify document content management software is a unique content-analysis engine, which reads documents like a person would, transforming document classification from a manual process into a completely automated activity that is a huge time and resource-saver.

Automatic Separation and Classification
Wordfire Classify document content management software accurately identifies unstructured and text intensive documents, reducing the need to pre-sort prior to scanning. Using technology developed for the US intelligence community by Content Analyst, Wordfire goes a step beyond traditional OCR/ICR, image analysis and keyword or phrase identification. Like a person, it reads documents – looking for patterns, concepts and associations. Soon it will understand your entire range of document types and will accurately sort them, eliminating manual classification.

Electronic Document Management Company: OnBase & Centera

Friday, December 3rd, 2010

Our electronic document management company offers a wide variety of excellent software options, not least of which is OnBase compliant storage manager for Centera.

What It Is
EMC Centera is an enterprise content addressed storage (CAS) solution designed to manage documents.  Organizations have the option to store OnBase documents to the Centera platform as an alternative to standard file servers.

How it Works
The EMC Centera integration provides an additional layer of security through a “key” identification method.  Keys are generated for each item written to Centera, and only with the key can users store and retrieve content.  Once stored within OnBase, the key is utilized for subsequent retrievals ‒ promoting rapid and secure retrieval performance.  The user experience is in no way impacted by the addition of the Centera layer, and OnBase continues to provide a seamless operation.

Who Will Benefit
Organizations using the EMC Centera integration module will incur these benefits:

  • Assured Authenticity: Documents stored on Centera cannot be altered or deleted ahead of schedule.
  • Simple Management: OnBase Administrators can manage high volumes of fixed content after configuring the Centera server just once.
  • Self-healing: Centera continually monitors its storage hardware and files to detect errors.  It proactively replicates objects automatically to guarantee high availability should any failure occur.
  • Future-Proof Architecture: Documents are stored in Centera independent  of location and hardware.  As the Centera server is upgraded and grows over time, OnBase documents will always be accessible.

Choosing the Right Electronic Document Management Technology, Part 3

Monday, June 14th, 2010

After generating a comprehensive list of electronic document management technology solutions, you can now determine which option that you have gathered is the best. It is highly unlikely that every option is capable of producing the specific results you want or need. The following sub-tasks will allow you to compose a short list of the best possible options:

  • Develop a criteria for you selections and assign weights
  • Apply the criteria
  • Choose the best four to six technology solutions

When you are developing your criteria and weights to use in your decision-making process it is important to clearly define each factor. Next, apply this criterion in terms of “weight”. In other words, how important is cost? Is it the only factor driving your decision? Or are there other equally important factors? The weighting percentage used should total 100 percent.

Weighting the criteria is important because it helps you choose the best electronic document management solutions. This is an effective tool due to the fact that it compares your potential solutions objectively as well as guarantees equal consideration for alternative solutions. The problems that you identify and the solutions that you select will define the course of your document strategy. Use the ideas in this article to strengthen your decision-making process and select the best electronic document management technological solutions to suit your needs.
