Finding Extra Money through Grants

It seems like all the news that comes from the State is related to the poor financial situation that we’re all in.  Staff is retiring and being laid-off, yet there is more work to do than there was in the past.  How do you maintain or exceed the same efficiency you achieved with a larger workload and a smaller staff?  Leveraging your current OnBase solution by investing in OnBase automation tools, such as workflow and electronic forms, will help you do more with less staff.

However, the lagging economy also means that budgets are tightening or disappearing completely and there often is not funding available for OnBase.  To help you continue to invest in your OnBase solution during these difficult financial times, Hyland Software and OSAM are offering assistance finding available grant money to supplement or completely fund your new OnBase projects.

Contacting your OSAM Account Manager is the first step toward finding out what grants are available to fund your OnBase project.  After discussing your ideas on the phone, your Account Manager will arrange an onsite meeting to discuss potential OnBase projects with you.  During those meetings, he will work with you to determine how OnBase can help you do more with less, improve your department’s interaction with its constituents, and provide a more efficient, more transparent level of service to your  customers.

The next step is all on OSAM. Your Account Manager will compile the findings into a request form and send that form to Hyland Software.  The Hyland Software Grant’s Office liaison will review the form and work with the Grant’s Office to identify any available grants for the types of improvements that interest you.

As a deliverable, the Grant’s Office will provide a summary document of all available grants. They will then schedule a conference call with you to discuss each one and lead you toward the grant(s) with the most potential.

Hyland and OSAM have seen our customers struggle with funding in the last couple years.  This program is a great tool for those customers who want to add to their existing OnBase systems or even start fresh in new departments, but are having trouble finding the available budget to allow them to do so.

Choosing the Right Document Imaging System for Your Business

An overwhelming number of “document imaging” software applications exist on the market today.From traditional imaging scanner companies, to software companies, to corporate banks, everyone claims to have the perfect solution for your paper management problem. But before you decide to jump into the document imaging selection process, there are a few simple steps you can establish that will help minimize frustration and narrow your search criteria to allow you to find the best solution possible.

Understand and document your paper process first.  You need to know how your process works and what content is involved. You can then start to look at which technology will expedite these processes the most.

Define the group. Decide who in your company will be evaluating the potential document imaging solutions.  Typically, companies rely on System Support Technicians/Records Management/Subject Matter Experts/Management people, but you can choose whoever you think best suited for the job.

Have a decision-making process. The key is to decide on a process at the beginning, share the process with everyone involved, and follow it to make your decision.

Establish evaluation criteria. Create a spreadsheet or template that includes required solutions pertinent to your needs. Every product being evaluated would need to address or exceed your needs.  A few things that you might consider when evaluating different potential vendors:

  • What is the company’s background?
  • Do their products follow industry standards?
  • What is the market size for the product?
  • Can solid project references be obtained for the company in question?
  • Is the company financially stable?
  • How much experience does the company have implementing the kind of solutions you require?

Final Evaluation. You need to analyze the data and solution to determine what features are most important to your application and prioritize them accordingly. Once you’ve determined your priorities, add corresponding weighted values to your feature grid.  At this point you should be ready to make your decision!
